The CEO of a global, leading financial services firm, renowned for innovative proprietary trading, is seeking a highly organized and proactive personal assistant to join a dynamic support team. This is a unique opportunity to leverage your strategic and analytical thinking skills while managing both the personal and professional demands of a fast-paced executive. Ideal for someone who excels in high-pressure environments and thrives on multitasking with precision.
Key Responsibilities:
- Manage personal and professional tasks, including coordinating appointments, reservations, and household arrangements
- Handle all aspects of international and domestic travel logistics, including flights, accommodations, and ground transportation
- Organize and maintain the CEO’s calendar, agendas, and events, ensuring smooth prioritization of competing demands
- Oversee wardrobe and style management, handle personal shopping, and manage everyday and event-specific wardrobe audits
- Perform general administrative tasks such as recording meeting minutes, data entry, filing, copying, and mailing
- Lead and coordinate multiple projects simultaneously, tracking timelines and ensuring deadlines are met
- Maintain a detailed and highly organized to-do list for both the CEO and business, keeping track of important dates and tasks
- Ensure seamless communication within the team, keeping all aspects of the business running smoothly
- Manage social media accounts, supporting the expansion of the CEO’s online presence across both established and emerging platforms
- Undertake additional personal, creative, or executive assistant duties as required
Requirements:
- Bachelor’s degree from an accredited institution
- Must provide SAT and/or ACT scores for consideration
- A minimum of 6 months of experience in an administrative, secretarial, or personal assistant role
- Proven ability to manage highly confidential information with integrity and discretion
- Excellent verbal and written communication skills
- Strong ability to manage multiple projects simultaneously and thrive under tight deadlines
- A self-motivated individual with a “no task too small” attitude and a positive, enthusiastic mindset
