Position: Real Estate Services Administrator

Pay Rate : From $50,000 a year

Key Responsibilities :

– Perform a wide range of administrative tasks, including phone support, drafting correspondence, expense reporting, calendar and scheduling, meeting coordination, filing, and copying.

– Maintain tenant, vendor, and property files, including insurance certificates and lease abstracts.

– Work with building technician staff and vendors to compile a list of maintenance items, open work orders, and coordinate the status of work assigned to vendors.

– Coordinate tenant events and appreciation, and assist with the publication and issuance of tenant newsletters.

– Initiate rent collections correspondence and phone contact with tenants where permitted by state regulations.

– Assist with budget preparation by researching costs for supplies and services, acquiring bids as directed, and following bid process guidelines.

– Assist with the preparation of monthly and quarterly management reports.

– Assist with the preparation of Common Area Maintenance (CAM) dues, invoices, and related correspondence.

– Administer accounts payable and accounts receivable by coding invoices for payment, inputting them into the accounting system, and forwarding original invoices to accounting for payment.

– Perform other tasks as assigned.

Qualifications :

– High school diploma or GED and a minimum of three years of related experience and/or training.

– Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.

– Ability to write routine reports and correspondence, respond to common inquiries or complaints, and effectively present information to internal departments and/or large groups of employees.

– Basic knowledge of financial terms and principles, with the ability to calculate simple figures such as percentages.

– Ability to understand and carry out general instructions and problem solve in standard situations.

– Intermediate to advanced skills with Microsoft Office Suite.

– Authorized to work in the United States without the need for visa sponsorship now or in the future.
